Management must take the initiative to plan how the conference will go. The top objective is to develop a plan that is as clear as you can on how the conference will benefit the business. When it’s feasible, focus on the departments that aren’t operating at their best. Send an email to every employee describing the conference and outlining some of the goals the company hopes to achieve through its activities.

A conference needs to account for every human need, much like any other sizable gathering, including one at a sporting event. Make sure there is five to ten square feet of space per person, enough for each person to have elbow room and comfortable seating. Provide ample time for staff to leave the workplace and fetch their own lunch (more than the typical lunch hour) or have lunch supplied. Also, make sure there are no issues with the restrooms.

The aftermath of a conference can be just as important as the actual events. Archive a video recording of the most important presentations and speakers so that any employee can go back and look up the day’s events. Circulate a memo thanking everyone for their time and interest, identifying anything important that may have passed over without much attention, and take suggestions about future events.

The ideal team size would be three or four individuals. That’s because problems frequently develop when an organization receives too many applications for membership. If there are too many competing viewpoints, preparations may take longer than expected and the conference’s main theme may get muddled. The outcome will be so general that no one will be bothered by it and no one will be excited by it.
